MetaKore Dine — Service Terms

METAKORE SDN. BHD. (Registration No. 202401045092 / 1590938-H) is a Malaysian digital agency providing IT solutions services — including MetaKore Commerce (Shopify storefront builds), MetaKore Dine (QR ordering for restaurants, sold as a managed subscription), web development, mobile app development, server migration, AI automation, API integration, data analytics & business intelligence, and other bespoke engagements scoped on request.

These terms cover the MetaKore Dine subscription, provided by METAKORE SDN. BHD. They accompany your invoice, and by paying it you agree to them. They are published here so you can read them before you pay, not only after. Two things are stated up front because they are the most likely to be misunderstood: the software is ours and you are licensed to use it, not buying it; and every term is paid once, upfront, and is not refundable in cash — if you close, the unused balance moves with you to your next outlet (section 6).

1. What you are paying for

A done-for-you, fully managed instance of the QR Food Ordering system for one restaurant. Your subscription includes:

  • Deployment and hosting of your own instance, with your own dedicated database — your data is never mixed with another merchant's.
  • Initial setup — we load your menu with you, working from your printed menu or a photo of it, and translate it into the languages you switch on at setup. We show you and your staff how to operate the system. Changing prices, adding dishes and marking items sold out afterwards is yours to do from the admin screen, at any time and at no charge.
  • Software updates and new features as they are released.
  • Security updates.
  • Best-effort support over WhatsApp during business hours.

The software is proprietary and licensed to you for the duration of your subscription, for use in one restaurant. You may not copy it, resell it, share your instance with another business, or attempt to extract or reverse-engineer it.

2. What you need to provide

  • An internet connection at the premises.
  • Your own everyday devices — a phone, tablet, or iPad — for taking and managing orders. No special hardware is required for the ordering system itself.
  • Printing and laminating your table QR codes. We give you the codes ready to print.

If you want printed kitchen tickets or printed receipts you will also need a network thermal printer, and a machine on the same local network that stays switched on and awake throughout trading hours to drive it. A counter computer that never sleeps can do this at no extra cost; if you do not have one, it is a small always-on box you buy once. A laptop that goes home at night cannot do it, and neither can a computer that sleeps. See section 3.

3. Hardware

We do not sell hardware. You buy the printer, the tablet, and where one is needed the box that drives the printer, yourself — from whichever shop or online seller you prefer — so that the warranty and any replacement are between you and that seller. This keeps you from waiting on us when a piece of equipment fails.

  • We will suggest a few models we have tested, for both the printer and the box. They are suggestions, not a requirement: you may buy any model you like, from anywhere. What we can promise is limited to what we have tested — an untested printer may not print every language on your menu, and that is a fault in the printer's own fonts that we cannot fix from our side.
  • Where the counter has no always-on computer, the same applies to the small box that drives the printer. We will suggest a Raspberry Pi model and set it up for you; you buy it wherever you like, and we do not supply or repair it.
  • Paper is yours to buy and keep stocked. The default for everything — receipts, party cards and kitchen tickets — is 80 mm thermal paper. A 58 mm kitchen printer is possible if you prefer it; tell us before installation, because it is a different roll and it fits fewer characters per line, which matters most for Chinese menus.
  • Setting up printing for the first time is covered by your installation fee (section 4).
  • Reconfiguring the system after you replace or move hardware is chargeable at our current rate, quoted before we start.

4. Installation

  • Standard installation is remote — a call and a screen share — and it is included in your first term.
  • We normally complete installation within a few days of your payment. Where something at your end is not ready — the internet connection, the printer, or the menu we are to load — we complete it once it is.
  • On-site installation is RM 300, one time, Peninsular Malaysia only. Outside that area we quote before we travel.
  • For printing, on-site or remote, you provide a powered printer already connected to your own network. We install and pair the software. Placing the printer, cabling, power and getting it onto your network are not part of the fee.

5. Term, renewal, and payment

There are two plans. Both are paid once, upfront, for the term you choose.

  • Software only — RM 150 a month: RM 450 for 3 months, RM 855 for 6 months (5% off), RM 1,620 for 12 months (10% off).
  • With printing — RM 250 a month: RM 750 for 3 months, RM 1,425 for 6 months (5% off), RM 2,700 for 12 months (10% off).
  • Software only needs no printer at all — two tablets are enough to run the whole system.
  • With printing adds printed kitchen tickets and printed receipts. You buy the printer yourself (section 3).
  • You may start on either plan and change at renewal.
  • The service runs for the term you paid for. Near the end of the term we will remind you to renew.
  • Renewal is not automatic unless we agree otherwise in writing. Your card or account is not charged again without you choosing to renew.

6. Cancellation, refunds, and moving to a new outlet

  • You may stop the service at any time.
  • Prepaid fees are non-refundable. Unused time on a term is not refunded in cash. This is why we suggest starting with the 3-month term.
  • But the unused balance is not lost. If your restaurant closes, it moves to your next outlet, on these terms:
  • Same owner. The new outlet must be registered to the same SSM registrant or the same person by IC. It cannot be given or sold to anyone else, and it cannot be exchanged for cash.
  • Same plan carries months; a change of plan carries value. Moving software-only → software-only carries your remaining whole months. Switching between the two plans converts the remaining value into credit instead, because the monthly rates differ.
  • Valid for 12 months from the day the old outlet stops.
  • Installation is charged again. The subscription moves because moving it costs us nothing; installation is work we do each time. For software only this is usually nothing or nominal. For printing we re-pair your printer and run a test print, quoted before we start.
  • Your menu comes with you. We export your existing menu and load it into the new outlet, so it opens with your prices and dishes already in place rather than being typed again.

7. Availability

  • We aim to keep your system running and available, and we monitor it on a best-effort basis.
  • This is an affordable managed plan, not an enterprise SLA. We do not guarantee a specific uptime percentage and do not offer service credits. Brief interruptions can happen — maintenance, updates, host issues, or the system waking from idle. We work to resolve any outage promptly.

8. Your data

  • Your data lives in a dedicated database for your restaurant alone.
  • You own your order and sales data. At any time you can download your order history as an Excel/CSV file from the Reports page.
  • Records are retained for 13 months, then automatically removed. Download the export at least once a year and keep the files — after that, your own downloaded files are the only copy. Malaysian law requires you to keep records for seven years, which is longer than any system we run for you, so those files are your record, not ours.
  • We process your data only to run the service for you, on your instructions. We do not use it for our own purposes, we do not sell it, and we never share it with another merchant.
  • Your instance runs on cloud infrastructure provided by Railway Corp. If you need to know which region your data is stored in — for your own record-keeping or a customer's question — ask us and we will tell you.
  • Under the Personal Data Protection Act 2010, you are the data user for your diners' and your staff's personal data, and we act as your data processor. Any notice you owe your diners or staff, and any consent you need from them, is yours to give — we do not deal with them on your behalf.
  • The system is built to hold almost no personal data about diners. There are no diner accounts, no email addresses and no phone numbers, and nothing follows a diner between visits. The only personal detail it can store is a name typed on a takeaway order, and even that is optional.

9. Tax and compliance — your responsibility

The system records your sales cleanly and lets you export them. It does not calculate, collect, or file service tax (SST/GST/VAT) — no tax is computed, added to a bill, or reported anywhere in the system. It can apply an optional service charge if you switch one on: you set the percentage, and the system discloses it to your diners before they order and records it on every bill. A service charge is a price component, not a tax — nothing is remitted to any authority and no return is filed — and whether you are entitled to levy one is your decision, not ours. Filing and paying any taxes, and meeting any licensing, halal, food-safety, or other regulatory requirements, is entirely your responsibility (or your accountant's). We provide the records. We do not act as your tax agent or compliance authority.

10. Acceptable use

  • The service is for operating one restaurant's ordering. Reselling it, or sharing your instance with other businesses, is not permitted.
  • You are responsible for the accuracy of your menu, your prices, and the orders you accept and fulfil.

11. What happens when a term ends without renewal

If you do not renew at the end of your term:

  • Your live site is suspended (taken offline) at the end of the term.
  • We retain your data for 30–60 days so you can renew and pick up exactly where you left off, or ask for a final export.
  • After that window, the instance and its data are permanently deleted.

We will remind you before each of these steps. If you want a final data export, ask us during the retention window. It is your menu and your order and sales history, as Excel/CSV files you keep.

12. If we cease operating

Your business should not be stranded because ours stopped. If either of these happens, we will release to you the source code of the version you are licensed to run:

  • METAKORE SDN BHD ceases to operate, and no other party takes the service over and continues it; or
  • we are unable to support the system for six consecutive months.

This applies to any customer with a paid term in good standing. The source is provided for self-maintenance only — to keep your own restaurant running. It does not come with the right to resell it, redistribute it, or operate it for anyone else. These are the only circumstances in which source code is provided.

13. Support scope

  • Support is provided over WhatsApp, best-effort, during business hours.
  • Included: help with setup, operating the system, and resolving issues with the service we host.
  • Feature requests are welcome from subscribers. We ship updates from time to time and will let you know. We cannot promise any specific feature or timeline.

14. Limitation of liability

The service is provided "as is" and "as available". To the extent permitted by law, our total liability for any claim relating to the service is limited to the fees you paid us in the twelve months before the claim. We are not liable for indirect or consequential losses — for example, sales lost during an outage.

15. Changes to these terms

We may update these terms for future terms or renewals. The terms that applied when you paid your current term continue to apply for that term.

16. Language

These terms are published in English, Malay, Simplified Chinese, Traditional Chinese, Thai and Vietnamese so you can read them in the language you prefer. The English version governs. The other five are provided for convenience. If a translation and the English text differ in meaning, the English text applies.
